Family document storage

Keep the family’s papers where you can find them.

The school form. The lease. The family records you’ll need again.

Store important family documents online in one place: IDs and certificates, the lease, school forms, policies and car papers, with a reminder before each renewal date.

Your collections

Four collections for the family’s important documents.

Organise household paperwork by what it is for, not by when it arrived: the home and lease, school and family, policies and records, cars and licences. Each collection keeps a document with the papers around it, so the renewal letter sits beside last year’s policy.

01 / Home & lease

The lease, with the papers around it.

Keep the lease, the deposit receipt and the move-in inspection together, so the start of the tenancy is in reach when it ends. Confirm the end date KuduDoc reads from the lease, and check when the lease notice is due.

Keep the policy schedule with its wording.

Keep this year’s wording beside last year’s and the renewal letter. Ask points you to the clause, here the excess. AI can misread a document, so read the clause it cites. Before you clear out old papers, check how long to keep tax and household records.

Nobody misses a licence renewal on purpose.

Keep the licence disc, the insurance schedule, the roadworthy and the service invoices in one collection. KuduDoc suggests each expiry date from the document for you to confirm, then reminds you 90, 60, 30 and 7 days before, by default — or the days you choose. See which household documents expire, and when.

Renewing? Open the licence disc and driving licence renewal forms, filled from your details.

Family records

Keep the certificate, and a sealed scan of it.

The birth certificate is in a drawer at your mother’s house. Photograph the pages with your phone, keep them as one PDF, then seal the scan. Keep the paper too: a sealed scan does not replace the original where one is required.

If the school asks for a certified copy, a commissioner of oaths certifies one on paper; then share the sealed scan view-only.

Not sure what to keep? Start with the life file checklist.

A household on Family

One household, separate accounts.

A household can have up to five people. Paying for someone’s seat does not open their records.

Separate accounts
The payer invites up to four people; each signs in to their own account.
Private records
Medical records and policies stay private by default, including from your household. You choose what to share.
A personal Vault
Encrypted on your device, with its own passphrase. Set up recovery first: if you lose both the passphrase and the recovery key, the contents cannot be recovered. The Vault is never part of emergency access.

On the Family plan

Emergency access, with the rules you set.

For the day nobody can reach you, choose the people you trust in your household, while you can talk it through. If they need your documents, they ask from their own accounts. You are told about every request and can cancel it.

  • Set the wait. A day, or longer. Access opens only if you have not cancelled by then.
  • Ask for more than one. For an elderly parent, two or three of the children must all request before anything opens.
  • Block a repeat request. If someone keeps asking, block them.
  • Ordinary documents only. The Vault is never included.

Questions about keeping family documents online.

How do I keep important family documents safe?

Keep the paper originals where you can find them, and a sealed scan of each in KuduDoc. Nothing in your account is shared unless you share it, even inside a Family household. For the most private papers, use the Vault: it is encrypted on your device with its own passphrase. Set up recovery first.

What if someone asks for emergency access while I’m out of signal?

Access opens only after the waiting time you set, and only if you have not cancelled. If you travel where there is no signal, set a longer wait before you go, or require two or three trusted people to all ask first. You can block anyone who keeps asking.

Does the school have to accept an electronic signature?

That is the school’s call, so ask what it accepts for that form. KuduDoc signatures are ordinary electronic signatures under the ECT Act.

Is KuduDoc a family document organiser app?

It runs in your phone’s browser, so there is nothing to install. Photograph a document’s pages, keep them as one PDF and file it in the family’s collections. On Family, up to five people each sign in to their own account, and you choose what to share.

Can everyone in the household see my documents?

No. Each person on Family signs in to their own account, and paying for someone’s seat does not open their records. You choose what to share with the household. Emergency access follows the rules you set and never includes the Vault.

Can I take my documents with me later?

Yes. You can export your data from your account at any time.
