KuduDoc / Library / 12 Oak Avenue
Lease and renewals, 12 Oak Avenue: the sealed lease, the renewal waiting for your signature and the deposit papers, in one collection.

A drive keeps the file.
The Library keeps what explains it.

The Library is KuduDoc’s document management software for South African households and businesses: each document kept with its dates, its signature state and the records that go with it.

A drive

A place to save it.

  • The agreement in a folder.
  • The renewal in an email.
  • The receipt in another thread.
  • The next question starts a search.

Your Library

A place to keep the story.

  • The agreement and its supporting records together.
  • A signature state on the record itself.
  • An expiry date kept beside the document.
  • Folders, tags and filters to find it again.

A lease rarely
travels alone.

The agreement, the renewal, the deposit receipt and the interest statement stay in one collection. Each row keeps its own state, so an unsigned renewal still says “Waiting for your signature”.

Record the end date on the lease too, and check when a lease renewal notice is due. Letting more than one unit? The lease register works out every lease’s dates and files each unit’s papers here.

The expiry date lives
with the document.

Keep the expiry or review date on the lease, licence or certificate. KuduDoc emails you before it comes round: 90, 60, 30 and 7 days before, by default — or the days you choose.

Four ways a document gets in.

Upload the file

Scan with your phone

Photograph each page with your phone’s camera and KuduDoc keeps them as one PDF. Where the paper original is required, keep the paper too.

Request the missing piece

Create a request link and send it to whoever has the document. Their upload lands in your Library.

Need answers and a signature as well? On Professional and Business, send a form link: the answers, the uploads and the signed document land here together.

Share a copy.
Keep the record.

Share one document with another KuduDoc account. Choose view only or download, set when access ends, and withdraw it when the handover is done. A copy someone already downloaded stays with them, so pick view only when that matters.

Sharing a certified copy of your ID? Keep the sealed scan with its date and share a copy of your ID safely: view-only, until a date you choose.

  • Folders

Nest them the way you already think about the records.

  • Tags

One label across records in different folders.

  • Smart rules

A smart collection fills itself from a rule: a tag, a person, a name, or “has an expiry”.

Library or Vault?

Someone else may need it

Keep it in the Library.

The lease, the policy schedule, the records another person may need to reach. You choose who you share with.

Only I should open it

Put it in the Vault.

A separately encrypted space for records only you should open, with its own passphrase and recovery key. Nobody else can reach it, not even through emergency access. Lose both the passphrase and the recovery key and the contents cannot be recovered.

No. Each person in a household keeps their own Library. Paying for someone’s seat does not open their records; you see what they share with you.
Yes. Photograph each page with your phone’s camera and upload the photos; KuduDoc keeps them as one PDF in the collection you choose. Where the paper original is required, keep the paper too.
Create a request link for the document you need and share it with the person who has it, however you like. They upload it with a free KuduDoc account, and the document lands in your Library.
It goes to the recycle bin, where you can restore it until it is purged. A completed, sealed document cannot be deleted; you archive it instead. Before you delete anything, check how long to keep documents.
Yes. Personal is free, with no card and no expiry date, and holds 5 GB of documents. Upload PDF, JPEG or PNG files of up to 50 MB each, scan pages with your phone, or email documents to your own KuduDoc address.
