From template to sealed record

  1. Read it first

Sign in and open any template to read every clause, in English or Afrikaans, before you fill anything in. The parts you fill in are marked. The library is on Professional and Business.

  2. Fill it in, in your browser

A short form asks only for what the document needs: names, addresses, amounts, dates. The document updates beside it as you type. Change a clause if you need to; KuduDoc marks it as your wording.

  3. Checked before it goes

KuduDoc checks each document before it is sent and won’t send one it recognises as a will, a sale or other alienation of land, a lease of land over 20 years, or a bill of exchange or cheque — sign those in ink; you can still seal the scan.

  4. Sent to sign

The signature fields are already placed for each party: landlord and tenant; employer and employee, with a witness line on a written warning. Each person signs from the link in their email, with a free KuduDoc account: send it for ordinary electronic signatures, in the order you set.

  5. Sealed and kept, with its dates

When the last signature lands, KuduDoc seals the file: a fingerprint of the exact bytes, a certification signature and a time anchor (what a seal records). It is kept in your Library, and dates such as a lease’s end get reminders 90, 60, 30 and 7 days before, by default — or the days you choose.

Anyone you give a copy to can check a copy, free, on KuduDoc’s public checker, without an account: unchanged since sealing, or not.

Prefer ink? Download the filled-in PDF, sign it on paper and upload the scan. KuduDoc seals the scan and keeps it with its dates.

Reviewed, dated, in English and Afrikaans

  • Reviewed before it appears. An admitted attorney reviews every template before it appears here, and each template shows the date of its last review.
  • A new version, a new date. When the law or the wording changes, the template gets a new version and a new review date. A document you already sent keeps the version it was sent with: it is sealed.
  • Two languages, one layout. Every template comes in English and Afrikaans, with the same clauses and the signature fields in the same places.
  • A starting point, not legal advice: read it against your situation before you send it.

Leases

Lease agreement templates

A lease agreement for a home, and the documents around it: the renewal, a notice to end it and the deposit refund. Keep the lease with the deposit receipt and the inspection, and keep every lease in the lease register.

  • A written lease names the parties and the home, and sets out the rent, escalation, deposit, period and each side’s duties (Rental Housing Act s5(6)).
  • The defects list from the ingoing inspection is attached to the lease (s5(7)).
  • Leases of 10 years or more are not in the library: to bind a later owner beyond ten years, they are notarially executed and registered. See which documents stay on paper.
  • Every lease template also comes in Afrikaans: the huurooreenkoms, often called a huurkontrak.

  13. Breach and remedies

Documents that stay on paper

Some documents are not in the library, because the law keeps them on paper or in front of a notary or a commissioner of oaths.

DocumentWhy it is not an e-sign templateWhat to do
A willSigned at the end and on each earlier page, with two witnesses present at the same time (Wills Act s2(1)(a)); the ECT Act gives no validity to the execution, retention or presentation of a will (Schedule 2).Prepare it to print and sign in ink
An offer to purchase or deed of sale of landSigned by the parties or their agents on written authority (Alienation of Land Act s2(1)); ECT Schedules 1 and 2.Sign on paper
A lease of land for 10 years or moreTo bind a later owner beyond ten years, it is notarially executed and registered against the title deed (Formalities in respect of Leases of Land Act s1(2); Deeds Registries Act s77(1)); over 20 years, ECT Schedule 2 as well.See a notary
A suretyship, such as a guarantor for a leaseA law requires the surety’s signature, so electronically only an advanced electronic signature meets it (General Law Amendment Act s6; ECT s13(1)). KuduDoc’s signatures are ordinary electronic signatures.Sign it in ink
An affidavit or sworn statementSigned in front of a commissioner of oaths (oath regulations, reg 3(1)).Sign in front of a commissioner of oaths
A bill of exchange or chequeECT Schedule 2; Schedule 1 switches off the ECT Act’s writing and signature sections for the Bills of Exchange Act.Sign in ink
An antenuptial contract or other notarial deedAttested by a notary and registered at a deeds office (Deeds Registries Act ss 86–87).See a notary

Sign those on paper. KuduDoc can seal the scan as a reference copy and keep it with a note of where the paper is. More in the ECT Act in plain words.

Templates on your plan

Questions people ask

Compare plans →

Is there a lease agreement template for South Africa?

Yes. KuduDoc’s residential lease agreement, in English or Afrikaans, is in the template library on Professional and Business. Each plan has a 14-day trial with no card needed to start: sign in to read the whole lease, fill it in and send it to sign. This page shows what the lease covers and when an attorney last reviewed it.

Who checks the templates?

An admitted attorney reviews every template before it appears in the library, and each template shows the date of its last review. When the law or the wording changes, the template gets a new version and a new review date. A document you already sent keeps the version it was sent with.

Are the templates available in Afrikaans?

Yes. Every template comes in English and Afrikaans, with the same clauses and the signature fields in the same places. Choose the language before you fill it in. The Afrikaans lease is a huurooreenkoms, often called a huurkontrak.

Is there an NDA template for South Africa?

Yes. The mutual NDA suits two businesses that both share information, so every duty runs both ways. It covers the purpose, what is not confidential, who else may see the information, personal information under POPIA, and returning or destroying it. No intellectual property changes hands.

Is there an employment contract template for South Africa?

Yes. Choose a permanent or fixed-term employment contract, or the contract for a domestic worker, in English or Afrikaans. The form asks for the position, pay, hours, leave and notice, and the employer and the employee each sign from their own link. Keep the written particulars for three years after employment ends (BCEA s29(4)).

Can I change the wording of a template?

Yes. Fill in the blanks, or edit a clause before you send it. KuduDoc marks the clauses you changed, because the review date belongs to the template’s wording, not to your edits.

What happens after everyone has signed?

KuduDoc seals the completed PDF: it records a fingerprint of the exact file, adds a certification signature and anchors the time. The signed copy goes into your Library, and dates in it, such as a lease’s end date, get reminders 90, 60, 30 and 7 days before, by default — or the days you choose.

What does signing a written warning mean for the employee?

The written warning template says the employee signs to confirm they received it, not that they agree with it. If they decline, KuduDoc records the refusal and its date, and a witness can sign to confirm the warning was handed over.

What if the other side wants to sign on paper?

Then sign on paper. The ECT Act does not force anyone to accept an electronic signature, and anyone may set their own rules for accepting documents (s4(2)). Download the filled-in PDF, sign it in ink and upload the scan: KuduDoc seals it and keeps it with its dates. A sealed scan does not replace the paper original where one is required.
